## Who This Guide Is For

- Enrolled or planning to enroll in a PhD program at a Canadian university.
- Interested in a scholarship that supports academic excellence, research leadership, and a commitment to community engagement.

**Limitations**

## Eligibility and Important Requirements

The Vanier CGS is one of Canada’s most prestigious doctoral scholarships. While the scholarship is open to a broad range of candidates, refugees must meet the same core criteria as other applicants. The key eligibility points are:

1. **PhD Candidate** – You must be enrolled in a doctoral program at a Canadian university.
2. **Academic Excellence** – A strong academic record is required, typically reflected in your undergraduate and master’s grades (if applicable).
3. **Research Proposal** – You must present a clear, innovative research plan that aligns with the scholarship’s focus on leadership and research impact.
4. **Leadership and Engagement** – Evidence of leadership experience and a commitment to community engagement is expected.
5. **Institutional Nomination** – Your university must formally nominate you. Each institution has its own nomination process and criteria.
6. **Legal Status** – You must hold a status that allows you to study in Canada (e.g., Canadian citizenship, permanent residency, or a valid study permit). Refugees who are in Canada on a temporary status must confirm that their status permits full-time study.

**Important Note**
The exact wording of these requirements can vary slightly from year to year. Refugees should consult the official Vanier CGS page and speak with their university’s graduate studies office to confirm that they meet all current eligibility criteria.

---

## What Funding or Support May Be Available

The Vanier CGS offers a generous stipend that covers tuition and provides a living allowance for the duration of the PhD program (typically three years). The scholarship also includes:

- **Tuition Coverage** – Full tuition for the entire doctoral program.
- **Living Allowance** – A monthly stipend to support living expenses.
- **Research Funding** – Additional funds may be available for research-related costs, depending on the university’s policies.

Because the exact amounts and the availability of supplementary funds can change, refugees should check the official website or contact their university’s financial aid office for the most recent figures.

---

## How to Prepare an Application

Preparing a Vanier CGS application is a multi‑step process that involves both your university and the scholarship’s national committee. Below is a practical roadmap:

### 1. Confirm Eligibility
- **Review the official criteria** on the Vanier website.
- **Speak with your graduate studies office** to confirm that your status and program meet the scholarship’s requirements.

### 2. Secure Institutional Nomination
- **Identify the nomination deadline** set by your university.
- **Gather required documents** (e.g., transcripts, research proposal draft, CV).
- **Submit a nomination application** through your university’s portal or by email, following their specific instructions.

### 3. Develop a Strong Research Proposal
- **Align your research** with the scholarship’s emphasis on leadership and societal impact.
- **Highlight your unique perspective** as a refugee, if relevant, and how it informs your research.
- **Seek feedback** from faculty advisors and peers before finalizing the proposal.

### 4. Compile Supporting Documents
- **Academic transcripts** from all post‑secondary institutions.
- **Letters of recommendation** (usually three) from professors or supervisors who can attest to your research potential and leadership.
- **Proof of legal status** (e.g., study permit, residency card).
- **Personal statement** that reflects your motivation, goals, and community engagement.

### 5. Submit the Application
- **Use the online portal** or email system specified by the Vanier CGS.
- **Double‑check all fields** for completeness and accuracy.
- **Keep copies** of every document you submit.

### 6. Follow Up
- **Confirm receipt** of your application with the scholarship office.
- **Prepare for interviews** or additional requests for information, if applicable.

---

## Documents Applicants May Need

While the exact list can vary, most applicants will need the following:

| Document | Purpose | Tips |
|----------|---------|------|
| **Academic Transcripts** | Demonstrates academic performance | Request official copies from each institution |
| **Research Proposal** | Core of the application | Keep it concise, clear, and aligned with scholarship priorities |
| **Letters of Recommendation** | Endorsements of your research and leadership | Ask recommenders early; provide them with your CV and proposal |
| **Proof of Status** | Confirms eligibility to study in Canada | Include a copy of your study permit, residency card, or citizenship proof |
| **Personal Statement** | Shows motivation and fit | Highlight your refugee experience if it informs your research |
| **Curriculum Vitae (CV)** | Overview of academic and professional background | Keep it up to date and tailored to the scholarship |

**Reminder** – Always check the official Vanier CGS page or your university’s guidelines for any additional documents that may be required.

---

## Common Mistakes to Avoid

1. **Missing the Nomination Deadline**
   - Universities often set earlier deadlines than the national scholarship deadline.
   - **Solution:** Track both dates and submit your nomination well in advance.

2. **Incomplete or Inaccurate Documents**
   - Even a small typo in your CV or a missing signature can delay processing.
   - **Solution:** Proofread all documents and use a checklist before submission.

3. **Weak Research Proposal**
   - A proposal that lacks clarity or fails to demonstrate impact may be rejected.
   - **Solution:** Seek multiple rounds of feedback and ensure your proposal addresses the scholarship’s focus on leadership and societal benefit.

4. **Failing to Highlight Leadership**
   - The Vanier CGS values leadership experience.
   - **Solution:** Include concrete examples of leadership roles, community projects, or initiatives you’ve led.

5. **Ignoring the Scholarship’s Format Requirements**
   - Some scholarships require specific formatting (e.g., page limits, font size).
   - **Solution:** Follow the formatting guidelines exactly as stated on the official website.

6. **Not Confirming Legal Status**
   - Refugees with temporary status may inadvertently submit an application that is ineligible.
   - **Solution:** Verify that your status allows full‑time study and that you have the necessary documentation.
